Working with subsidiary timetables

There are three ways to create a subsidiary timetable in PCS:

  • Add subsidiary: create an almost brand new timetable as subsidiary
  • Quick subsidiary: copy of the main timetable or an existing subsidiary timetable
  • Using the Combined PaP/Tailor-made solution and create "Managed by PCS" subsidiaries

Add Subsidiary

The "Add Subsidiary" button can be found in the Applicant or in the IM timetable view depending on to which agency the user belongs. The button is in the upper right corner.

1. Basic info

After clicking the button the user is lead to a step by step wizard. The first step is Basic Info where it's possible to define:

  • Copy options: what should be copied from the main timetable
    • Path and Train numbers (please note that this train number is not the International train number from the dossier basic data)
    • Times
    • Train parameters
  • Choose origin and destination: there are two options showing and hiding the possible operation points
    • Show only my path sections: if this is selected only those operation points are shown where the user's agency is responsible
    • Show only borders: if this is selected only the border sections are presented there from the main timetable

In case the user deselects the check-boxes for show options, the system will show the complete route of the train from the main timetable. Please note that only two operation points can be selected from the list, because those will be later the origin and destination of the subsidiary. The operation points between the two selected stations will be shown automatically in the subsidiary timetable.

After the definition of the origin and destination point, the user will be lead to the subsidiary timetable, where it is possible to

  • Add/remove stations
  • Edit times

Please note that the reference point must be defined in the subsidiary timetable as well. This could be different from the one in the main timetable. A subsidiary timetable must contain at least two operation points.

The possible actions are the same as in the 2. step of the Create New Dossier Wizard and in the edit timetable in dossier details. For further information please check the relevant documentation.

3. Reference calendar

In the third step the user can customize the running days of the subsidiary timetable. PCS will help the user and it will show the content of the main calendar. Then it is up to the user to extend or reduce the proposed running days.

4. Train parameters

The possible actions for train parameters are the same as in the 5. step of the Create New Dossier Wizard and in the edit parameters in dossier details. For further information please check the relevant documentation.

Subsidiary timetable (result)

After the user created the subsidiaries he can find it in dossier details in the Applicant timetable segment.

In the Applicant timetable segment now it is possible to see the new subsidiary that was just created, the already existing subsidiaries and the main timetable. Timetables are always marked with colour, e.g. the main timetable is always marked with blue colour.

The possible actions with the subsidiary are shown in the picture. Differences from the main timetable are marked with the colour of the subsidiary and with the edit button, it is possible to open the timetable in edit mode. Users can find the delete option also in this screen and it is possible to delete the subsidiaries. Please note that in PCS each company can delete any subsidiary, e.g. involved Applicant can delete a subsidiary that was created by the leading Applicant. Users shouldn't worry about accidently clicking on the delete button, because to delete the subsidiary they have to confirm it again in a pop-up window.

Remark: this function is different in PCS Integration Platform (interface). There are different rules to avoid the situation that one agency accidentally deletes another's subsidiary timetable.

Similar to the geographical view the user can find the created subsidiary calendars marked with the same colour in the calendar view.

Quick Subsidiary

There is another way to create a subsidiary in PCS and this is the "Quick Subsidiary" option. It's actually a "copy" function. The user should select one of his timetables, it could be the main timetable or one of the subsidiaries and then he should click on the "Quick Subsidiary" button. After this, the system will automatically create a new subsidiary timetable and open it immediately it in edit mode. The important thing is the content of the subsidiary:

  • PCS takes those operation points from the original timetable where the user's agency is responsible
  • PCS copies the calendar of the original timetable's calendar that is why it is recommended to users to go and edit its calendar after the creation of the subsidiary

That is why the recommended steps for how to work with subsidiaries would be the following (especially for those who likes to use envelope concept):

  1. Create main timetable
  2. Add subsidiary between the borders with details
  3. Use quick subsidiary to copy the created detailed subsidiary and do minor modification
  4. Adjust the calendars in order to remove overlapping days

Managed by PCS subsidiaries

In case of Combined PaP/Tailor-made solution when the Applicants would like to insert a PaP to a dossier that has not available days compared to the reference calendar, PCS will offer the possibility to create subsidiaries to cover the not available days (for further details please check the relevant documentation with select PaPs).

These subsidiaries are marked later clearly in the system as "Managed by PCS".

It is important that these path behave different for the Applicants and for the IMs that is why the topic is splitted to two chapters.

Applicant use case

"Managed by PCS" paths are read-only for the Applicants. The times, operation points and train parameterare applied from the PaP from the main timetable.

User cannot delete and cannot copy these subsidiaries. The calendar is also read-only. Calendar changes are possible only in the main calendar.

How to remove a "Managed by PCS subsidiary"? As the delete function is not available in this case the user has to use the edit calendar function. He can go and edit the main calendar. If the not available days are deselected from the main timetable, PCS will automatically remove the "Managed by PCS" subsidiaries. In the above-presented example, the green subsidiary covers the available days and the purple subsidiary the not available days. It is visible that the PaP is not available on Thursdays (4) that means, if the user deselects the Thursdays from the main calendar, PCS will automatically delete the "Managed by PCS" subsidiaries.

Then as a first step, the user removes the Thursdays from the main calendar.

PCS will show a new dossier preview where there isn't any need for the "Managedy by PCS" subsidiary timetables.

The system also asks the user for confirmation to remove the not necessary subsidiaries.

And finally in the dossier details only the main timetable and the manually created subsidiary is there.

IM use case

Compared to the Applicants the difference is that IMs can edit those subsidiaries that are managed by PCS. This is necessary to reduce the probability that the IMs and RFCs together are not able to send a draft offer.

IMs can edit:

  • Subsidiary calendar
  • Timetable where they have access:
    • Not protected flex PaP section that was forwarded to IMs for timetable by the C-OSS
    • Tailor made section where the PaP is not available

Please note that PCS can remove automatically these subsidiaries (as it was described above) until the link is not broken. If the IM changes the calendar of the subsidiary timetable PCS will lose the control on them and it won't be possible again to merge the subsidiaries back to the main timetable.
